Post it Up Producers!

I took a picture of my 2nd screen in the office, as this is the place where I find it most useful to keep track of my own tasks. A lot of Producers and Executive Producers have different methods from digital to paper to crazy. I think digital task lists are great and even a necessity for organizing a team well, let’s face it paper won’t work. However for the day-to-day tasks I need to do in any given week or when someone brings something to my attention I like to post-it up on my screen.
I have my own system of priority using position, colors and order. I even stick something on the actual screen if it is super critical. I can’t say it is a fool proof system but it does remind me every time I look at that screen items that I don’t want to let fall between the cracks.
What are other producers using out there for tracking their own tasks?

quite funny...I am a graphic designer but I've got the very same method at work...I think it's a natural urge for us to write down quick notes and to be able to go back to basics. Pen and paper won't never be replaced. We do have some digital alternatives but A post it on the desk is probably the most efficient way to remember quick task which remains!
Moreover, I think there's some kind of satisfaction / pleasure in throwing your post it to the garbage (or the paper bin :)) when you're done!

Absolutely, I love doing that as it gives that sense of accomplishment. You can then re-order the list and more often than not keep adding to it until you run out of screen :)

My old home setup had an extensive use of post its - Post its are effective for the small to-do's, even though i am trying to sort them out in ical/entourage, they tend to stick around for a long time.
At In2media we use stickies a lot during our startup-meetings, not very 21st century, but it works and everyone on the team knows exactly what they need to deliver.

Hi Brian. A lot of people here at Fi and Kontain are budding photographers so there is always an SLR, point & shoot or camera phone lying around. I did not have my camera in the office yesterday so one of our Producers lent me hers for the photos.
Karen will need to confirm but I am pretty sure it was a Canon Rebel XT using a L Series lens 17mm-40mm - F4.0

Hehe, the tricky task of keeping track and prioritizing things when you have no time or mental capacity to do so. I recently started using Things, which is working out really well. I have it on my Mac and on my iPod. The lists sync automatically, even if my Mac and iPod are in different rooms, a very nice user experience. Perfect for tracking things on the go and managing tasks during desk time... although not as "romantic" as the 20th century post-it approach.

I am a big post-it fan too for big tickets I need to do. I agree with you on needing to use digital lists for teams in projects as there are so many tasks under 1 section it would be a nightmare otherwise with 60 billion post-its..

Hey Christoph, I know Karl is a big fan of Things also.
I've tried so many different options, MS Entourage has their widget, Yahoo widgets has a desktop app and Omnifocus which offers a few more functions. But I've gone back to the good ol' fashioned Post-it's and works for me. The best thing about them is that they're always in front of you as constant reminders. I also set 8am meeting reminders in Outlook, so when I arrive it pops up with the the major Todos.

I think my post-it usage comes down to around one per month, tops. That might have something to do with the fact that I have almost completely lost the ability to write by hand. But I just don't use them. That not to say not everyone else at the office have the habit of sticking notes all over my computer when I am not around.I have been trying a bunch of systems and software over the years, but I end up with the same thing: a catch-all rich text file that contains all my urgent tasks, notes, thoughts, reminders, IM-conversation copies, business leads, temporary phone numbers or just about any piece of information I come across.I save the file as ToDo.rft, have it in my dock and auto launch it on startup. Without it I am lost, so rest assured I am continually backing it up and having it synced with my iPhone.It allows me to quickly add notes from a phone call, re-prioritize tasks and save something someone sent me over IM. The file usually looks like mayhem and feels very lo-fi, but allows for infinite flexibility and I don't have to conform to any specific interaction to add info. Its quick and direct and it is yet to to be matched by anything else on the market. I want to use apps like Things, but they are just not quick and flexible and "always there" enough for the day-to-day craziness - it's better suited for wedding planners and such.. -

Very interesting points of view. The 8am Outlook reminders sounds like a new method that could work, as those pop up's are always there. Would be interested to hear in a month from now if you still use that system and how you have tailored it to suit your day-to-day.
Also good to remember that like any process there is no perfect way of doing it. Every person, especially Producers will have their own methods for what works for them. The most important part is that it does work and it is efficient.

Great post Stevo. I have a never ending todo/tasks list that I use in Outlook. Anything and everything that comes across my desk gets put into this list - everything! I am constantly checking and updating this list throughout the day and it's always the last thing I do at the end of the day. This is key for me when things are constantly moving and I need to have my hands on a 100 things at once, keeps things from falling through the cracks. And I agree, the best part IS when I get to tic those items off! Ohhhh the satisfaction! :)

Nope, not yet. But I`m still on the hunt for my final (iPhone related) 2do tool.
So, what do I use today?
At work Outlook, Mindjet Mindmanager, Post-its and Pen&Paper. That`s it I guess.
I use Post-its only for very urgent things I have to do when I`m back at my computer like calling someone back.
A good mindmapping map is my nr.1 tool for project overviews and specific tasks, in my case it`s Mindjet Mindmanager. I can put every big or little task in there and reduce the view as I want to. I have one mindmap with every project sorted by client and for every project itself at least one seperate mindmap.
Besides that Outlook shows me the different deadlines or tasks I have to do on a specific date. I use colors to classify them. For example: blue is the color for my sports related clients.
And Pen&Paper helps me when I have to write down a new task during the time I`m not at my computer.
(For private tasks I use iCal on the iPhone by the way)
I think if I would have my Mac at work things would be a bit different, I would probably use OmniFocus instead of Outlook.

You know i customized my Linux inscuh a way that the present task will be blinking the task bar and i also keep journal and Evolution also help.
Then my iTouch is also another alert system
But i think this idea is totally cool
